ASSISTANT
TO BUILDING MAINTENANCE SUPERVISOR
DISTINGUISHING
FEATURES OF THE CLASS: The work
involves responsibility for providing administrative assistance to the Building
Maintenance Supervisor in addition to being responsible for the inventory and
purchasing systems of the Cortland Housing Authority. Specific work responsibilities include acting
as liaison between managers, staff, tenants and vendors, purchasing and
controlling inventories of supplies and Capital Fund Program elements,
inspection of properties to identify maintenance and/or repair needs, and data
entry. The incumbent is allowed
considerable independent judgment in the performance of duties. The work is performed under the general
supervision of the Housing Project Manager and/or designee. Does related work as required.
TYPICAL WORK ACTIVITIES:

Schedules
appointments/meetings, maintains calendars;
q
Processes
incoming mail, conducts and generates correspondence and routing as necessary
to the appropriate program managers;
q
Orders materials
in accordance with established policies;
q
Maintains an
efficient inventory system for all supplies, materials and equipment, including
determination of optimal inventory levels, order quantities and automatic
re-order points;
q
Inspects Public
Housing and Section 8 properties to assess deficiencies and maintenance needs;
q
Creates and
tracks Maintenance Work Orders;
q
Creates reports
and statistical information as necessary using word processing, spreadsheets
and housing management software;
q
Inspects
material and equipment upon delivery for damage and conformance to the
order. Puts up stock and controls
inventory stockroom;
q
Solicits and
reviews cost estimates, proposals and bids from vendors in conjunction with
program managers.
FULL PERFORMANCE KNOWLEDGES, SKILLS, ABILITIES AND
PERSONAL CHARACTERISTICS: Good knowledge of office terminology,
procedures and methods; good knowledge of business arithmetic principles and
modern practices of office management; ability to understand and carry out
complex written and oral directions; ability to understand and interpret
written material; ability to work effectively with a variety of people; ability
to keep accurate records and make oral and written reports; ability to deal
impartially and effectively with vendors; initiative and resourcefulness; tact
and courtesy; sound judgment; physical condition commensurate with the demands
of the position.

MINIMUM QUALIFICATIONS:
A.
Completion of
two (2) years or more of full-time education at a regionally accredited New
York State recognized college or university AND two (2) years full-time or its part-time equivalent paid
experience in a clerical or government housing agency position; OR
B.
Graduation from
high school or possession of high school equivalency diploma AND four (4) years of full-time
or its equivalent paid experience in a clerical or government housing agency
position. OR
C.
An equivalent
combination of training and experience as described in (A) and (B) above.
